Privacy Policy

This page explains what information we collect when you contact us or hire us, why we collect it, how long we hold onto it, and what you can ask us to do with it.

1. Who we are

VelarVisuals is a 3D product visualisation studio based in Pir Mahal, Punjab, Pakistan. The studio is operated as a sole proprietorship by Bilal Naseem, trading as VelarVisuals, who is the data controller for the information described below.

Our full postal address is available on request and appears on every invoice we issue.

2. What we collect

Information you give us

Project enquiries. Your first and last name, email address, brand or company name, and the product description you submit through our project form.
Uploaded files. Reference photographs, CAD and 3D files (STEP, OBJ, STL), PDFs, artwork, and archives you send so we can produce your renders.
Correspondence. Emails, messages sent through your client tracking portal, and any feedback or approvals you record there.
Billing details. Whatever is needed to process and record a payment.

Information collected automatically

Technical data. IP address, browser type and version, device type, operating system, referring page, and pages viewed.
Cookies and similar technologies. Covered in section 7.

3. Why we use it, and our legal basis

To answer your enquiry and produce the work you commission. Necessary to perform a contract, or to take steps at your request before entering one.
To run your client tracking portal. Necessary to perform a contract.
To take payment and keep financial records. Necessary to perform a contract, and to comply with legal obligations.
To keep the website working and secure. Our legitimate interest in running a functioning, secure service.
To send occasional updates about our services. Only with your consent, which you can withdraw whenever you like.

4. Your files and your intellectual property

We do not take ownership of the product designs, CAD data, artwork, or trade secrets you send us. They stay yours. We use them only to produce the work you have commissioned.

We will not show your product, renders, or brand in our public portfolio without your written permission first. If you would rather your project stayed unpublished, tell us and we will note it against your account.

5. Who we share it with

We do not sell personal data. We share it only with:

Service providers who host our website, store files, deliver email, and process payments. Each one is bound to handle data only on our instructions.
Contracted 3D artists working on your project, under written confidentiality agreements.
Authorities, where the law requires us to disclose something.

The categories of provider we currently rely on are website hosting, cloud file storage for project assets, email delivery, and Payoneer for payment processing. We will tell you the specific companies behind any of these if you ask.

6. International transfers

Our studio is based in Pir Mahal, Punjab, Pakistan. If you are in the United Kingdom or the European Economic Area, your information will be transferred outside your own jurisdiction to reach us.

Pakistan does not currently hold a UK or EU adequacy decision. We therefore rely on appropriate safeguards for these transfers, including Standard Contractual Clauses, alongside the confidentiality and security measures described on this page. If you want a copy of the safeguards we have in place, email contact@velarvisuals.com and we will send it.

7. Cookies

We use only cookies and similar technologies that are strictly necessary for the site to function. We do not run advertising cookies or third party tracking, and we do not build profiles of visitors.

If we add analytics or marketing tools later, we will update this page and, where the law requires it, ask for your consent before those cookies are set.

8. How long we keep it

Enquiries that never became projects: 12 months, then deleted.
Project files and deliverables: kept for 24 months after final delivery so you can re-download them from your portal, then deleted unless you ask us to hold them longer.
Financial records: as long as tax and accounting law requires.

9. Security

We use access controls, encrypted transfer, and confidentiality agreements with everyone who touches client work. No system is perfectly secure, but we take this seriously, particularly for products that have not been announced yet.

10. Your rights

Depending on where you live, you can ask to see the personal data we hold about you, correct it, have it deleted, restrict or object to how we use it, receive it in a portable format, or withdraw consent at any time.

To do any of that, email contact@velarvisuals.com. We will reply within one month.

If you are in the UK or EEA and think we have handled your data badly, you can complain to your national supervisory authority. In the UK that is the Information Commissioner's Office.

11. Children

Our services are for businesses. We do not knowingly collect personal data from anyone under 16.

12. Changes

Any changes will be posted here with an updated date at the top. If a change materially affects how we use your data, we will email active clients about it.
